We are required by the United States Equestrian Federation (USEF) policy on Competition Entries to collect certain identifying personal information on each individual who is an owner, trainer, rider, coach, driver, handler, or payee on a Competition Entry. This information is only shared with Competition Organizers who use the Show Management System for Electronic Competition Entries and with the USEF.

Types of Information We Collect

Mandatory Information

We are required to collect the full mailing address and USEF or Foreign Federation membership numbers of all individuals and entities listed on a Competition Entry as an owner, trainer, rider, coach, driver, handler, or payee. Furthermore if an individual or an entity will be receiving prize money from a Competition we are required by the Internal Revenue Service (IRS) to obtain the Social Security Number (SSN), Tax Payer ID (EIN), or Individual Taxpayer Identification Number (ITIN) for that individual or entity.

The Show Management System requires a valid e-mail address for the user submitting the Competition Entry.

Individual Competition Organizers may also require the e-mail address and phone number of all parties on a Competition Entry.

Optional Information

To facilitate communications between the Show Management System, Competition Organizers, and individuals entered in participating competitions, we encourage users to submit a valid e-mail address and phone number for all people listed on an entry.

How do we secure this data?

All communications between users and The Show Management System Entries Web site take place over industry standard "https" communications using 256 byte encryption. Furthermore, any taxpayer information (SSN, etc.) submitted is stored in an encrypted format in our database and is only accessible to the Competition Organizer or their Competition Secretary for the purposes of issuing prize money 1099s.

Who do we share information with?

We restrict access to nonpublic personal information about the people in our system to our staff in accordance with their official duties in administering the Web service and to Competition Organizers, the USEF, and Foreign Equestrian Federations as required by their Official Entry Policies.
